Agreement and operator
This User Agreement governs your use of Ontavia Research, Ontavia Writer, and the related Ontavia website and services, operated by VASC.AI. You must be at least 18 and able to enter an agreement. If you act for an organization, you must have authority to accept these terms for it. Mandatory rights under applicable consumer and privacy law are not waived.
Research and writing use
Ontavia provides AI-assisted literature retrieval, evidence analysis, drafting, citation, and related research workflows. It is intended for research and writing support, not diagnosis, treatment, patient management, or autonomous professional decisions. Features and connected sources may be unavailable or change over time.
AI limitations and human review
AI output can contain errors, missing context, fabricated or incorrect citations, biased conclusions, and unsuitable recommendations. Independently check claims, calculations, citations, figures, and source material before publication, submission, sharing, or reliance. Qualified humans remain responsible for consequential decisions. Output is not medical, legal, regulatory, financial, or other professional advice; patent analysis is not a freedom-to-operate opinion.
Permitted information
Use public or appropriately de-identified research material that you have the right to submit. Do not upload protected health information, identifiable patient records, credentials, trade secrets, export-controlled material, or other information requiring a special confidentiality or regulated-data agreement. No business associate agreement or authorization to process PHI is provided by this agreement. De-identification and institutional permissions remain your responsibility.
Your content and permitted processing
You retain the rights you hold in your submitted material. You grant VASC.AI only the rights reasonably needed to host, process, transmit, and display that material to operate the service, generate requested outputs, provide authorized workspace collaboration, investigate security incidents, and comply with law. You must respect third-party copyright and database licences. AI output may not be unique, and no guarantee of exclusive ownership or non-infringement is made.
No customer-content model training
VASC.AI does not use customer-submitted content or generated workspace content to train or fine-tune Ontavia models by default. Ordinary registration, payment, or acceptance of this agreement is not model-training consent. Any optional future training use requires a separate, specific opt-in and disclosure. Service-provider processing remains subject to the relevant provider arrangements and is not permission for VASC.AI to repurpose your content for unrelated training.
Data processing and privacy notice
The service processes account identity and contact details, workspace membership, billing references, usage and security records, submitted material, and requested outputs. AWS provides hosting, storage, database, and identity services in the United States; OpenAI processes material sent for AI requests; connected search providers receive the queries needed for retrieval. Stripe processes payment information, and Ontavia stores billing references rather than raw payment-card details. Essential session and security cookies support sign-in and request protection. Authorized workspace members can access content according to their permissions, and authorized operators may access data when needed for support, security, or legal duties.
Privacy requests and retention
Contact info@ontavia.ai with access, correction, deletion, or privacy requests. Identity may need to be verified before a request is fulfilled. Operational data is retained to provide the service; account closure or deletion requests are subject to applicable legal, billing, security, and backup-retention requirements. Backup copies are not necessarily removed immediately. Personal information may be processed outside your country. This agreement does not promise HIPAA certification, regulatory approval, or a particular data-residency arrangement.
Account security and acceptable use
Provide accurate account information and protect your credentials. Do not share accounts in ways that bypass authorized membership or paid access. Do not submit malicious code, evade limits or security controls, access another workspace without permission, infringe others' rights, or use the service unlawfully. Promptly report suspected unauthorized access. Do not present AI output as independently verified when it has not been reviewed.
Subscriptions, fees, and cancellation
Review the price, billing interval, taxes, renewal terms, and usage allowance shown before confirming a purchase. Recurring subscriptions renew until canceled under the terms presented at purchase. Use available billing controls or contact info@ontavia.ai to request cancellation and billing assistance. Stopping use alone does not cancel a subscription. Refund and cancellation rights required by law remain available. Usage allowances do not guarantee availability, processing time, or a particular result. Material pricing changes apply with notice as required by law.
Availability, suspension, and closure
The service is provided on an as-available basis and may be interrupted for maintenance, provider outages, or security incidents. VASC.AI may suspend access where reasonably necessary to address misuse, nonpayment, security risk, or legal requirements, and may discontinue features or the service with notice where required. You may request account closure through support. Keep appropriate copies of work you need to retain; cancellation of billing and deletion of an account are separate actions.
Liability and mandatory rights
To the extent permitted by applicable law, VASC.AI does not warrant that the service or AI outputs will be accurate, complete, uninterrupted, or fit for a particular purpose. VASC.AI is not liable for indirect or consequential losses arising from use of the service, and its aggregate liability is limited to fees you paid for the service during the preceding twelve months. These limitations do not exclude liability or rights that cannot lawfully be excluded, including applicable consumer protections.
Changes and governing law
VASC.AI may update this agreement with notice appropriate to the change and applicable law. Material changes may require renewed acceptance. If a provision is unenforceable, the remaining provisions continue to apply. Ontario law and applicable Canadian federal law govern, with disputes heard in Ontario courts except where mandatory law provides otherwise. Separate signed agreements control where they expressly override these terms.
